Data deposition

Please note, that any attempt to change the language of the RODBUK Repository page while entering metadata will clear the form.

Adding a New Dataset:

  1. Log in.
  2. In the top right corner, click your Name and Surname, select the My Data tab, then choose the displayed collection or click on the name of your collection (department/institute/college).
  3. In the Add Data section, select New Dataset. A metadata form will then open.
  4. The metadata of the new dataset is by default in English. If you are entering data in Polish, select Polish from the list. You can change the metadata language while filling out the form, but once you save the draft, this option will no longer be available. If you make a mistake (e.g., data in Polish but metadata in English), you'll need to create a new dataset and delete the previously saved one.
  5. Adding metadata: Complete the metadata form. If you have any doubts, detailed information can be found under the question mark icon (tooltips). Try to fill in as many fields as possible to enhance the discoverability and correct reuse of your data.
  6. Navigate to the Files tab.
  7. Use the Select Files to Add button or drag and drop the data files. Ensure you include the 00.readme.txt file. The maximum size for a single file is 4 GB; larger files can be uploaded using an API token (generate it by clicking on your name in the top right corner, selecting the API Token tab, and creating a token valid for one year) or a script available on GitHub. Please contact the data steward before uploading larger files.
    For each file, you can add a description and tags (categories such as documentation, code, data, spreadsheets, surveys, and tabular data like geospatial, and network) and restrict access to them.
  8. Access restriction can be done in two ways (in the Files tab, click the three dots on the left side):
    • Embargo: Specify the date from which the files in the dataset will become available and provide the reason for the embargo. After publication, only the metadata is publicly available. The embargo is only possible for datasets without a published version (dataset versioning). The maximum embargo period in RODBUK is 36 months, and it cannot be lifted before the specified time limit;
    • Restrict: You can lift restrictions on files at any time. Additionally, you can allow or disallow users to request access to the data and specify the access conditions. It will be your responsibility to verify the requester and potentially provide access to the data.
  9. Click Save dataset.
  10. The dataset will receive the status Draft with an assigned inactive DOI number. DOI number will be active after verification and publication by the data steward.

Note: The deposited dataset is automatically assigned a CC0 license (waiver of copyright – placing the data in the public domain). If you want to change it or impose an embargo on the file/set, you must modify the dataset.
